The organiser helps with coordination, but it is not an insurer and cannot promise a particular means of evacuation. The participant is responsible for holding a valid policy and for giving accurate information.<\/p>\n<h3>The participant&#8217;s role<\/h3>\n<p>Report symptoms at once, do not leave the group, carry out the decision to go down, and do not take medication on somebody else&#8217;s regime. The local driver handles the safe transport section. The organiser coordinates the services but does not determine insurance cover. But the absence of a signal does not mean any expense will automatically be reimbursed. Once contact is restored, pass on the chronology and follow the contract&#8217;s procedure.<\/p>\n<h2>Four operational scenarios<\/h2>\n<h3>Deterioration at Laguna Santa Rosa or Laguna Verde<\/h3>\n<p>Reporting early makes it possible to stop the gain in height and consider going back by land. The team knows who stays with the participant and how that affects the other vehicles. The policy is checked for medical care once the person reaches a facility that can be reached.<\/p>\n<h3>A problem in the Atacama or at Tejos<\/h3>\n<p>The altitude and the state of the road limit the options. Nobody can promise that a vehicle will reach the same point immediately on every date. The form help takes is determined by the person&#8217;s condition, the road, the weather, the team&#8217;s resources and the services available.<\/p>\n<h3>Splitting the group<\/h3>\n<p>The number of guides and vehicles, the leader&#8217;s authority and the ability to accompany one person down are all settled in advance. Insurance does not conjure up an extra guide. If splitting the party requires a separate vehicle, it has to be clear how that is ordered and paid for.<\/p>\n<h3>A closed road with no medical event<\/h3>\n<p>A change in the road may not in itself be an insured event. The cost of an extra night, a flight or changing a ticket is checked against the programme&#8217;s terms and the relevant sections of the policy, not against medical evacuation.<\/p>\n<h2>The standard, short, private and B2B programmes<\/h2>\n<p>The policy is checked against the actual product. The eight-day programme is intended for someone with current acclimatisation at not less than 5000 m, but its short duration does not lower the summit&#8217;s maximum altitude. For a private group, the guiding team is confirmed. In B2B logistics the client appoints its own leader separately.<\/p>\n<p>An insurance requirement cannot be carried across from another tour merely because both programmes go to Ojos. The dates, the route, the participant&#8217;s role and the side of the mountain all have to match what was declared to the insurer.<\/p>\n<h2>Medical and personal information before the start<\/h2>\n<p>The insurance form is completed truthfully. The leader is told about chronic conditions, regular medication, allergies, past reactions to altitude, recent injuries and a contact at home. That information is needed for decisions, but it does not entitle a manager to prescribe treatment.<\/p>\n<p>Regular medication is carried in accordance with the rules and does not depend on one piece of checked luggage. The participant knows the name, the dose and the important restrictions. It helps you start a claim quickly, but it does not replace the terms. Once the dates or the product change, the old version is deleted.<\/p>\n<h2>Documents after an event<\/h2>\n<p>Keep the case number, the times of the contacts, the assistance service&#8217;s instructions, medical reports, prescriptions, invoices, receipts, transport paperwork and proof of the itinerary. Verbal decisions are confirmed by message or letter where possible.<\/p>\n<p>Documents in Spanish are kept in the original. Ask the insurer whether a translation is needed, what the deadline for a claim is and in what form it must be submitted. First achieve a match with the route, then judge the limits, the service and the cost.<\/p>\n<h2>The final check before Copiapo<\/h2>\n<p>The participant and the leader check the name, the passport, the dates, the territory, the altitude, the activity, the equipment, search, transport, medical care and the contacts. Someone at home is given the itinerary and a way of reaching the organiser, but not a promise of a message every day from every camp.<\/p>\n<p>A short practice run is more use than the formal existence of a PDF: without an internet connection a participant should be able to find the policy number and the assistance contact and list the first steps. If they cannot, the documents are not yet ready for a remote expedition.<\/p>\n<h2>The line between a road problem and an insurance claim<\/h2>\n<p>A closed road, a vehicle breakdown or Tejos being unreachable are not necessarily medical events in themselves. Their consequences are governed first by the programme, by the contract with the transport provider and by the terms of the extra services. Calling every problem an evacuation creates false expectations and gets in the way of using the right mechanism quickly.<\/p>\n<h2>How to compare suitable insurance offers<\/h2>\n<p>First rule out policies that do not confirm 6893 m, Chile, the actual activity or the equipment you need. Among those left, compare the individual limits for search, transport and treatment, the excess, the assistance service, and the procedures for approval and payment.<\/p>\n<p>Always keep in the table the clause of the terms and the date of the answer. An empty field means an unknown. The overall sum insured and the price come last, because they do not put right a function that is excluded.<\/p>\n<h2>How payment works, and your own reserve<\/h2>\n<p>The assistance service may arrange a letter of guarantee or may require you to pay and claim afterwards. Which happens depends on the institution and the situation. A participant knows the excess, the currency and the documents in advance, and has a means of payment that works.<\/p>\n<p>A personal reserve does not replace insurance and has no universal size. It is worked out from the tickets, the terms of the policy and the extra nights that might be needed. An expense you pay yourself is not automatically reimbursable.<\/p>\n<h2>A dry run for the group<\/h2>\n<p>Before departure the leader sets a scenario: someone has got worse at Laguna Verde, the main phone is flat, and one vehicle is at another camp. The team has to name who is responsible, the channel of communication, the documents available, the plan for getting down and how to open a claim with the insurer.<\/p>\n<p>The point is not to guess the one right action. What is being checked is that the roles are assigned, that the information is available offline and that logistics are not being passed off as a medical decision. Gaps are put right in the contact plan and the specification before leaving Copiapo.<\/p>\n<h2>When an insurer&#8217;s confirmation goes out of date<\/h2>\n<p>A written answer relates to the dates, the route, the participant and the activity it names. Moving from the standard programme to the short one, adding Aconcagua, changing which side of the route you use or moving to another season all call for a fresh check. The danger of an old policy sitting on a phone is that under stress the group may give the wrong number or use an out-of-date contact.<\/p>\n<h2>Checking cover stage by stage along the route<\/h2>\n<p>Read the policy not only against the name of the summit but against the whole sequence of the trip. Something can happen in Copiapo, on the first drive to altitude, during the outing on San Francisco, at Tejos or after coming down from the mountain. There must be no day and no activity that falls under none of the documents in force.<\/p>\n<h2>What to leave with someone at home<\/h2>\n<p>Leave them the name of the programme, the dates, a link to the route, the Mountain Guide contacts, the insurance company, the assistance service and the policy number. Medical details are passed on only so far as necessary and with the participant&#8217;s agreement. No daily point of contact is promised where the internet is unreliable.<\/p>\n<p>Explain in advance who reports a serious change of plan. Calling every service available, without coordination, can create contradictory claims. The person at home understands that the absence of the usual message does not mean something has happened, and uses the agreed contact.<\/p>\n<h2>Financial documents and currency<\/h2>\n<p>Before the trip, find out which costs can be paid directly and which are reimbursed after you return. Establish the excess, the currency of the limits, the conversion rate and the requirements for originals. The participant has a working card or another lawful means of payment that does not depend on one device.<\/p>\n<p>An invoice without a medical document may not be enough, and a medical certificate without proof of payment does not prove the expense. So the documents are gathered in pairs: the grounds, the sum, the payee and the fact of payment. The claim number goes on all subsequent correspondence.<\/p>\n<h2>The quality check before payment<\/h2>\n<p>The finished set should let you answer five questions without guesswork: is 6893 m covered, is the actual activity permitted, is search work included, how is transport approved, and where do you call from Chile. After that, check treatment, repatriation, luggage and curtailment.<\/p>\n<p>If an answer exists only in an agent&#8217;s account of it, the check is not finished. If the full terms are not supplied, the option is ruled out. Only when the documents match the route do you compare the price, the convenience of the assistance service and the size of the limits.
