Visa and documents for a trip to Tanzania

The visa and documents you need for Tanzania depend on your nationality and on your flight routing. The official eVisa system recommends applying through the government portal and holding a passport valid for at least six months with at least one free page. On entry you may be asked for a return ticket or confirmation of onward travel.

The rules change, so an old list from an email exchange is no grounds for boarding. Check before you buy non-refundable tickets, again once your visa has been issued, and once more before you fly.

Your passport

The official visa rules require at least six months of passport validity and at least one free visa page at the time of application. If your passport expires soon after the trip, do not rely on a casual reading of the rule – check the official requirement for your own situation.

The name, number, dates and nationality on your ticket, visa and insurance must all match your passport. A single wrong letter may mean going back to the airline or the immigration service.

Who needs a visa

Whether you need a visa is determined by your nationality. The official eVisa portal lists the visa-exempt states and the countries for which prior approval is required. Do not apply the rules for Russian citizens to someone travelling on a different passport.

A tourist normally selects the category matching the purpose of the trip. If your nationality or status falls under a referral case, the application is submitted well in advance and the trip cannot be treated as confirmed until a decision is made.

The online visa

Complete your application only on the immigration service’s official domain. Third-party sites may charge a commission, collect unnecessary data or be dressed up to look like the government portal.

Keep your application number, your payment confirmation and the Grant Notice. Receiving a visa notification does not override the final decision of the officer at the border. Check the details again as soon as you receive them.

Zanzibar and mainland Tanzania

The official rules state that a single visa allows you to visit both the mainland and Zanzibar. Your first point of entry is selected on the application form. No separate new visa is needed between the two parts.

Domestic flights and accommodation remain separate bookings. A visa on its own confirms no ticket, baggage allowance or transfer.

Return ticket and itinerary

The immigration service lists a return ticket or confirmation of onward travel among the things you may be asked for. Keep your itinerary and bookings accessible offline.

If your tickets are issued separately, have both confirmations ready. If a safari or Zanzibar follows the mountain, your final departure must fit the whole trip.

Transit countries

A routing through Kenya, Ethiopia, the Gulf states or Europe has to be checked separately. What matters is the airport, any change of terminal, whether you have to collect your baggage, the length of the connection and your nationality.

Transit can affect not only your visa but your yellow fever certificate as well. A long stop in a risk country is assessed under Tanzania’s official health rules.

Insurance

For climbing Kilimanjaro you need a policy covering high-altitude trekking up to 5895 m and evacuation. Check the geographical scope, the maximum altitude, the type of activity, the exclusions, the excess and the claims procedure.

Health documents

A yellow fever certificate is not required of everyone. It is tied to arriving from a risk country or to a long transit through one. Check your exact routing against the current document issued by the Tanzanian Ministry of Health.

Programme documents

Take your tour confirmation, the contact details of the local operator, your insurance policy, a list of emergency contacts and the documents for any additional parts of the trip. For a minor, consents and the carriers’ requirements are checked.

Keep a paper set, copies on your phone and a secure copy in the cloud. Never leave your only copy in baggage you check in.

The paper and digital set

It is convenient to keep documents in three forms: the originals with you, paper copies stored apart from the originals, and digital copies on your phone and in secure cloud storage. You should still be able to reach the digital set without mobile internet. Your passport, boarding passes and certificates must never go into checked baggage.

Check the name and passport number on every confirmation character by character. A single wrong letter, an old document number or a mismatch in dates may mean reissuing something. Once you have a new passport, check the visa, tickets, insurance and programme details all over again.

A transit audit two weeks before departure

The requirements are set by the whole routing, not by Tanzania alone. Write out every airport, the length of each connection, any change of terminal, whether you collect baggage and whether there is an overnight stop. If you have to pass through passport control or pick up your bags, a transit can turn into entering a country with visa and health rules of its own.

Check the return journey separately, along with any change of airline. Transit conditions through Kenya, Ethiopia, the Gulf states or Europe can differ by nationality and by document. Information from an old traveller’s report does not replace the rules of the border agency and the airline on the date you fly.

Checks on the day you fly

Before you leave home, compare your passport once more against the details on your ticket and visa confirmation. Check that the validity of the document meets the official requirement for your date of entry, and that there is a free page in the passport. Charge your phone, save your offline copies and take a pen for any forms you may need to fill in on the way.

Your hand baggage should hold your documents, medication, a minimal warm set and anything without which you could not start the programme if your checked bag is delayed. A full mountain kit will not normally fit in the cabin, so find out the airline’s rules in advance and have a plan in case your case goes missing temporarily.

If your flight changes, do not rely on your original check. A new airport or a longer connection can change the visa and health requirements. Take a picture of the new routing and check it again against official sources before you accept the change.

Documents are checked per person, not per group.

People on the same programme may hold different nationalities, different types of passport and different flight routings. A blanket answer from a manager is therefore no substitute for an individual check. A visa decision is made on the passport, while the health and transit requirements also depend on the countries a person actually flies through.

The official Tanzania Immigration portal sets out two main ways of obtaining a tourist visa for those who need one: an online application and, in permitted cases, a visa on arrival. Some nationalities require prior approval, and certain countries are exempt. Choose the current category only on the official page of Tanzanian visa rules.

Why applying online is easier, but does not guarantee entry.

Applying electronically lets you upload your documents in advance and receive notification before you fly. Keep the application number, the letter and the confirmation file. Even so, a visa that has been issued is not unconditional permission to cross the border: the final decision is taken by the immigration officer at the point of entry.

Apply only through the official domain. Similar-looking commercial sites may charge an extra fee and are not the government system. Your name, passport number, dates and visa category must match your documents. A mistake cannot be dealt with by assuming nobody will notice.

Passport and routing.

The official conditions require at least six months of passport validity and at least one free page at the point of application. Before buying tickets it is worth checking the airline’s own requirements too. A damaged passport, a surname that does not match the ticket or the lack of a free page can stop the trip long before the mountain.

At the border you may be asked for a return ticket or confirmation of onward travel, and for funds for the trip. You need a voucher or programme confirmation, the address of your first hotel and the contact details of the local operator. Keep this information offline: mobile coverage after landing is not guaranteed.

Transit is a separate check.

A connection does not always mean formal transit without entering a country. Changing airport, collecting baggage, separate tickets or an overnight stop may all require you to cross the transit country’s border. Its visa and health rules then apply. Check every segment, every terminal, whether the ticket is a single one and whether your baggage is checked through to the final destination.

A routing through Kenya, Ethiopia, Uganda or another country can also affect whether a yellow fever certificate is required. What matters is the country and the length of the transit, not just your city of departure. After any change to a ticket, do the health check again.

The mainland and Zanzibar.

A Tanzanian visa is used for both the mainland and Zanzibar. No separate visa is issued for the island. Documents may be checked again on a domestic flight or a ferry crossing, so keep your passport and confirmations with you.

Travel to Zanzibar is subject to the island’s own compulsory entry insurance scheme. That does not replace the policy you need for climbing Kilimanjaro. Your mountain insurance must allow for an altitude of 5895 m and for evacuation, while the island document is arranged under the current Zanzibar Insurance Corporation rules through the official Visit Zanzibar portal.

Documents for a minor.

For a child or teenager, their own passport, visa status, insurance and the documents for leaving the country and for being accompanied are all checked under the rules of their nationality. If a minor is not travelling with both parents, a consent or other supporting document may be required. Mountain Guide does not stand in for a notary, a border service or a consulate.

A minor’s participation on the mountain is agreed separately from entry to the country. Holding a visa does not confirm readiness for altitude and does not override the national park rules.

How to assemble your documents.

• Tickets for every segment and confirmation of onward travel
• Programme voucher, the address of the first hotel and the local operator’s contacts
• A policy for high-altitude trekking and the contacts of a round-the-clock service
• Health certificates, where your routing requires them

• Separate Zanzibar insurance confirmation, if the trip includes the island

Keep electronic copies on your phone and in secure cloud storage, and the paper set apart from the originals. Leave your itinerary, policy number and the office contact with someone close to you. Do not send full medical details unless there is a need.

A schedule for re-checking.

Check the requirements the first time before you buy non-refundable tickets. The second time is before you submit the visa application. The third is after any change to your routing. The final check is made a few days before departure, on the websites of the immigration service, the Ministry of Health and any transit countries.

A screenshot of an old page or a message on a forum does not prove what the rule is now. Record the date of your check and the link to the primary source. If the official site and the airline’s information disagree, ask for a written clarification before you check in.

Visas and the role of Mountain Guide.

Mountain Guide provides programme confirmation and the details of the local operator, but it is not a government visa authority. You are responsible for making sure your passport and entry documents are in order. If your nationality requires prior approval, take that into account before committing to non-refundable tickets.

A manager should not promise a visa or an exact processing time. They can check that the documents they know about are complete and give you the official links. The decision rests with the immigration service.

What to do if a name does not match.

The surname and forename on your ticket, visa and insurance must match your passport. Do not “correct” a transliteration to a more familiar spelling. If you change passport or surname, check every related document again. If an error has already appeared, go back to the organisation that issued the document before you fly.

The border folder.

It helps to keep the paper set in a clear protective folder: passport, visa confirmation, tickets, first night’s booking, programme, insurance contacts and health certificate. Save the same files on your phone, along with an offline map showing the hotel address.

Answer an officer’s questions briefly and in line with your documents. The purpose of the trip is tourism and a climb as part of an organised programme. Do not give inconsistent information or produce an unconfirmed plan.

The airline’s own check.

A carrier may check documents before boarding using its own systems. Even if you are counting on a visa on arrival, it is worth carrying the official text confirming that this is available for your nationality. The requirements for a return ticket and for passport validity are also checked at the desk.

If your flights are issued on separate tickets, each airline assesses the routing on its own. Holding a visa for the final country does not exempt you from the rules of a self-connecting transit.

Keeping your personal data safe.

Send a copy of your passport and your visa files only through an agreed channel, and only to the member of staff who genuinely needs them. Do not post them in the group chat. Once your visa arrives, check the document and keep a copy, but do not forward the open file unless you have to.

Your application form must not contain different versions of your name. Take the details straight from your passport. Keep the application number and the answers to any security questions separately from the document itself.

If the rules change before you fly.

A new requirement is not cancelled by pointing to an old booking date. Contact the airline and the official agency, then tell Mountain Guide. If a document cannot be obtained in time, a change of routing or a postponement is considered. The final decision has to be in writing and has to be workable.

The final set is checked by two people: you, and the manager responsible for those documents that relate to the programme. The legal obligation to meet the entry rules nevertheless remains with the passport holder. A check by Mountain Guide reduces the risk of something being missed, but it is not a guarantee of what the border service will decide.

Your files must open without an internet connection, and the paper copies must still be legible after several flights and transfers. Confirm all of that before you leave home.
